Cataloging the title

 

▶ Cataloging > New record

 

1. Click on « New record ».
2. Choose the appropriate framework.
3. Fill the form.
4. Click on « Save ».
5. When the item form appears, click on « Normal » without filling the item information.

 

Adding a subscription

You must create a subscription for each library that will receive this serial’s issues or loose-leaf updates.

 

1. From the detailed record (« Normal » tab), click on « New » and choose « New subsciption ».

 

2. Fill in the form (Part 1).

Vendor: click on the link to search for a vendor.

Record: the biblionumber and title should already be entered.

Choose « do not create an item record when receiving this serial ».

Choose to « Keep issue number » when there is an irregular issue.

Manual history: do not check this box.

Call number: enter the call number.

Library: choose the library where this subscription goes.

Public note: if needed, write a public note about this subscription.

Nonpublic note: if needed, write an internal note about this subscription.

Patron notification: use a notice template to notify subscribed patron when a new issue is received.

Location: do not choose a location.

Item type: choose the item type.

Grace period: do not fill in this field.

Number of issues to display to staff: for display in the staff catalogue.

Number of issues to display to the public: for display in the OPAC.

 

 

3. Click on « Next >> ».

 

4. Fill in the form (Part 2).

 

First issue publication date: date of the first issue to receive.

Frequency: choose the frequency.

Subscription length: do not enter a subscription length.

Subscription start date: write the current date or the original start date.

Subscription end date: write 12/31/2099.

Numbering pattern: choose the numbering pattern.

Locale: if the numbering pattern contains name of days, of months or of season, choose the langage that will be used for these words.

 

5. Write in the information « Begins with ».
6. If needed, write in the information for « Inner counter ».
7. Click on « Test prediction pattern ».
8. Make sure the prediction pattern is correct.

If not, adjust the frequency, the numbering pattern, « Begins with » or « Inner counter ».

 

9. When the prediction pattern is satisfactory, click on « Save subscription ».

Repeat the subscription creation steps for each library. To save time, click on « Edit » and choose « Edit as new (duplicate) ».

 

 

Receiving issues (« checkin »)

 

Paths to the form
Method 1a : If you are simply receiving the last issue

 

▶Serials > Search for subscription

 

1. In the « Action » column to the right of the library’s subscription, click on « Serial receive ».

 

Method 1b : If you are simply receiving the last issue

 

▶Serials > Search for subscription

1. In the results list, click on the library’s subscription title.

 

2. Click on « Received ».

 

Method 2 : If you need to receive several issues of the same subscription

Serials > Search for subscription
1. In the results list, click on the library’s subscription title.
2. Click on the « Serial collection » link.

 

3. In the list of issues, check the issues to receive, or click on « Generate next » if the issue to receive is not in the list, and click on « Edit serials ».

 

Marking issue as received

All the methods above lead to the same receiving form.

1. Check that the number and publication date are correct, and edit them if needed.
2. Change the status to « Arrived ».

3. Click on « Save ».
